Position Summary Provide excellent first impressions to visitors while monitoring the security procedures; ensuring that employees and visitors are in compliance with all aspects of the security program. Deliver high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, greeting visitors, arranging conference calls, and scheduling meetings and limited facilities maintenance. Act as liaison in handling customer and manager inquiries.
Duties and Responsibilities
* Greets visitors and direct to appropriate destination * Answer phones and direct callers to the appropriate contacts * Conduct visual compliance * Controls entry of authorized personnel and visitors * Maintain visitor log using a visitor management system * Provide temporary badges for visitors after validating ID * Monitor visitors and employees to ensure compliance with the security procedures and policies * Brief host and visitor on responsibilities after entering facility * Assists in gathering information for investigations into security violations * Ensures destruction of classified and/or confidential information in accordance with policies and procedures * Order office supplies/maintain budget for supplies * Receive mail and scheduled pick-ups * Invoice reconciliation for purchases * Coordinate travel arrangements/process travel expense reports * Maintain conference room schedule, operate conference room equipment * Assist in organizing company events/site visits * Coordinate maintenance of building * Supports, communicates, reinforces and defends the mission, values and culture of the organization * Follows established procedures on routine work, requires instructions only on new assignments * Coordinates with other Administrative Assistants * Performs other duties as required Basic Qualifications Associate's degree or 2+ years equivalent industrial or physical security training Additional Desirable Qualifications Skills and Knowledge
