The successful candidate will be a self-starter who is proactive and willing to go the extra mile to achieve corporate and department objectives. The working environment is within a small, friendly entrepreneurial team atmosphere. Key Accountabilities:
. Provide general office administrative support to the Management team and other staff. . Participate in auditing department processes and commitment to health and safety. . Prepare, input and proofread payroll data. . Track data and prepare various monthly reports in a timely manner. . Maintain all records pertaining to division fleet. . Prepare and verify internal and external invoices for payment. . Process all IT and facility requests and maintain records as required. . Process and distribute incoming and outgoing mail, faxes and courier packages. . Maintain office equipment including the fax/photocopier machines and schedule service as required. . Greet visitors and answer phones. . Perform other general office duties and administrative tasks as assigned.
Knowledge/Skills:
. Proven ability to work calmly and effectively under pressure of high volume of work and constantly changing priorities. . Ability to work simultaneously on projects and the ability to work cooperatively as part of a small team, as well as independently. . Ability to organize and prioritize assignments and take initiative to follow through on pending items. . Establish and maintain good working relationships with all internal and external contacts. . Proficiency in using computerized software, e.g., Lotus Notes, Advanced knowledge of Word, Excel, Access and PowerPoint. . Demonstrated excellent oral/written (grammar, composition, and punctuation) communication skills coupled with strong interpersonal skills: pleasant and professional telephone manner; ability to deal courteously and effectively with people; demonstrate initiative and flexibility. . Demonstrated excellent organizational skills, the ability to exercise good judgment and initiative in providing advice and appropriately directing/resolving problems. . Ability to maintain confidentiality and handle issues with diplomacy and tact.
Qualifications:
. Secondary School diploma or equivalent and a Business Administration degree from a recognized educational institution. . Three to five years office experience and excellent knowledge of office practices, procedures and routines.
