Project Coordinator - Project Manager Assistant

Project Coordinator - Project Management Assistant PMA Work on projects that have involved software implementations of SAP; requires high level familiarity with processes and ordering and the software development lifecycle. Responsibilities will include the recording of minutes at status meetings, follow-up on action items, posting of status on issues, action items and risks and various administrative tasks related to the project.
Other activities may include:
• Meetings Management
• Scheduling
• Agenda
• Minutes Issue / Risk Support
• Scheduling assistance
• Navigation / Data Entry during disposition meeting
• Pre-work for disposition meeting
• Following up with Risk / Issue Owners for status SharePoint Organization / Administration
• Processing delete requests o Creating new document libraries as part of clean-up and organization efforts
• Moving documents as part of clean-up and organization efforts On-boarding / Off-boarding Support
• Clarity

New User Requests Vacation Tracking / Administration Project Plan Updates / Administration Additional PM support as needed.
PMA would support Project and Program managers with the following tasks:
• Project Initiation Clarity and Otherwise
• Project Documentation and Tracking
• Project Admin Vacation Calendar, Contact List, Project On-boarding
• Meetings Management scheduling, minutes, track follow-up items
• Issue and Risk Management Data Entry and Updates, Follow-up on open items
• Project Schedule and Deliverables Tracking Ad hoc tasks assigned by PM or Dept Mgmt Dept Admin lead. Copy/fax, new user requests, etc Meeting logistics / coordination Set-up/publish meeting invites, monitor attendance, reserve conf rooms, AV equipment requests, etc.
• Ensure meetings are ready to start on time and any special accommodations handled in advance e.g. adequate conf room size, any special AV requests, etc. Publish decks in advance of meetings, activate dial-in before start time, have presentations projected in room in advance of meeting start time, WebEx activated, etc.
• Single point of contact for Project docs/info Document/publish meeting minutes, action items and attendance in a timely manner Follow-up on critical action items/issues captured during meetings, follow-up as requested by PM Project Status report prep and publication Presentation deck prep, as necessary General reminders to PM.
• Help keep PM organized action items, dates, follow-up, etc. SharePoint maintenance Clarity new user and off-boarding request submissions assist with on-boarding new resources/off-boarding former resources. Complete all training modules, as necessary Reporting RRD process scan project docs, create and post version history, load to SharePoint, load to Solution Mgr Org chart maintenance Distribution list maintenance Calendar mgmt activities meetings, etc.
