Proposal CoordinatorThe Lead Proposal Coordinator will work cooperatively with proposal management teams and Subject Matter Experts (SMEs) to coordinate all aspects of the proposal data management effort. Individual will use their understanding of proposal development support to manage, direct and orchestrate the data collection activities of Proposal Volume Leads and numerous section authors (typically 5 â?" 35 staff) to produce high quality, winning proposals while meeting stringent schedule requirements. Individual will assist with proposal plans including outlines, compliance matrices, schedules and assignments. Individual will be required to organize meetings, review teams, etc. and accommodate all event requirements.
Individual will be required to perform production efforts of proposals as requested. Individual must be willing to learn and implement best practices with respect to proposal development processes, methodologies and corporate discipline, supporting BAEâ?Ts effort to position itself to win major programs on a consistent basis.
The Lead Proposal Coordinator will serve as a Proposal Center general Virtual Proposal Center (VPC) administrator and assist in promoting standardized corporate proposal processes throughout the Sector by leading both group and individual training sessions.
Coordinator will also perform a variety of administrative tasks: Schedule and organize meetings, travel, and department activities; prepare expense reports and purchase requisitions; Fax, copy, and file as necessary. sort and distribute mail, prepare FedEx packages, answer phones, take messages, and field/answer all routine and non-routine questions for Proposal Managers; handle confidential and non-routine information. Type and design general correspondence, memos, charts, tables, graphs, business plans, etc. Organize and coordinate meetings, perform special projects as assigned. Work independently and within team settings.
The Coordinator will work collaboratively and cooperatively with the Proposal Managers or other Lead Proposal Coordinators in addition to a range of staff, consultants, matrixed resources and temporary help to support business development and proposal development efforts. Will identify and implement business development and proposal tools and/or industry technologies to improve the efficiencies of the BD and proposal development teams.
Required Education:8+ Years with HS or 5+ Years with AA or 2+ Years with BSRequired Experience:Required Skills:Ability to coordinate various activities simultaneously while maintaining good communication with team, teammates and managers. Ability to manage incoming data and disseminate this information to proposal teams effectively, both written and oral, by working closely with capture managers and Sr. Proposal Managers. Highly organized and able to coordinate all proposal data and proposal production efforts to produce high-quality proposal products-graphics, slides and text, and coordinate Blue, Pink, Red, and Gold Team proposal reviews. Individual must be a team player in business capture activities and willing to contribute to the corporate Proposal Development Center data archives, which include resumes, program/project summaries, management methodologies, and boilerplate/re-use materials. The Proposal Coordinator must have good communication skills and assist in promoting standardized corporate proposal processes throughout the organization. Expertise/Knowledge in use of Microsoft Office products essential. Ability to create outlines and schedules, manage and coordinate data activities of proposal teams and production staff. Ability to proofread and perform quality control check of proposals under tight deadline constraints. Experience with organizational process definition, design and implementation. Experience with training program and/or mentoring program design and implementation. Previous experience working in a proposal/deadline-driven environment. Experience in conflict resolution and prioritization of tasking. Ability to coach junior staff a plus.Preferred Skills:Previous experience working in a proposal environment is a plus. Graphics and desktop publishing packages experience and plus; and some experience with Internet research. Experience in training/mentoring/coaching staff and (proposal inexperienced) senior operations staff who are writing proposals for the first time
