Description
Phacil is looking for candidates for a Secretary - I position to support an important government customer in Rockville, MD. We are looking for candidate who are interested in full-time, part-time and short-term.
Clearance Requirements Ability to become and remain cleared for employment based on a government security background check
Scope This position will provide basic administrative support to the government customer. Responsibilities will include, but are not limited to: Serve as the office receptionist by maintaining a professional manner by politely receiving visitors and promptly notifying the appropriate staff of their arrival; politely answering incoming telephone calls and directing the call to the intended recipient, or documenting the call with an accurate message for the intended recipient. Type documents and accurately and efficiently enter data from various sources into existing spreadsheets with a 95% accuracy Accurately and efficiently proof-read documents and make appropriate corrections of errors in basic grammar, punctuation and spelling Sort incoming mail and the distribution Prepare for meetings, briefings and presentations by producing similar quality documents as compared to the original being copied and assembling and indexing the materials into designated formats and/or packages for use during meetings, briefings, and/or presentations. Schedule the office meetings, briefings and/or presentations by using the Conference Room Scheduling system or contacting the Administrative Services Center by reserving an appropriate size conference room for the number of planned attendees, and arranging delivery to the meeting room of any special items required for the meeting, i.e., TV/VCR, lectern, flip-board with markers, speaker-phone, etc. Support the office document control requirements by maintaining existing manual tracking systems, or updating an existing automated tracking system which tracks the status of controlled correspondence or action-items. Support the office filing requirements by manually filing documents accurately (95% of documents are filed in correct location and order) into existing record systems, retrieving documents from existing record systems for use by staff upon request, and creating new manual record systems of a basic nature. Support the office’s urgent document processing requirements by manually delivering or picking-up documents from other offices within the facility that require immediate attention. Support the office’s daily readiness requirements by monitoring local inventories of forms and office supplies, etc. in order to notify staff of the need for an item to be replenished before the available stock is exhausted. Support the office by escorting visitors within Headquarters facility who are not cleared for unescorted access. Support the offices other miscellaneous administrative needs by performing any other office support tasks.
Qualifications 0-2 years of administrative experience Proficient in Microsoft Office (Word, Excel, Access) and Lotus Minimum of typing 50 words per minute with no more than 3 errors Excellent verbal and written communication skills
