Administrative Associate LI

JOB SUMMARY:
 

Under the general direction of the Executive Director, Business Operations and Business Development plans, coordinates, and implements analytical, operational, financial and/or management functions. Will provide leadership for the assigned projects, and project manage the implementation of key new initiatives. This position will play a key role in designing, and developing methodologies for data collection, mining, and analysis supporting performance and quality improvement for Family and Community Medicine's clinical practice utilizing data extracted from EPIC EMR system. Additional responsibilities include; ensuring that employee data and databases are maintained using SAP, FCM's Personnel Management System, MSExcel, and participating in the BCM annual budget process. Supports HR and other administrative functions for Family & Community Medicine Department as required. Might include supervision of some office staff.

ESSENTIAL FUNCTIONS AND DUTIES:
Data Analytics and Operations:
*Assists in extracting and analyzing the data needed in support of managing the academic practice of the department (clinic wide and provider specific dashboards, developing budgets, provider production reports, various compliance reports in support of contracts and incentive programs from payors). Develops expertise in using EPIC "clarity" data base and "workbench" tools for data mining, drill downs, and analysis.
*Develops expertise in conducting analysis using UHC data bases, and CUBE software in conjunction with data pulled from EPIC EMR system.
*Utilizes appropriate statistical analysis techniques with provider production data, quality of service data and outcome data.
*Creates a patient recall system and a registry in support of BFM's transformation objectives and in line with industry quality programs including NCQA and Bridges to Excellence.
*Assists in analyzing the departmental financial results, and supports adherence to best practices as required.
*May assist with developing budgets, assisting in application preparation, monitoring expenditures, preparing financial reports for faculty, etc. for assigned grants and contracts.
*Assists in developing the required analytics and in administering department's various external contracts.
*Plays a key role in the development of business cases and financial proformas for new initiatives proposed to be undertaken by FCM.

Departmental Support Functions:
*In conjunction with BCM Human Resources, handles international visa facilitation and preparation and other related activities. May serve as a back-up resource for certain HR functions within the department.
*Coordinates the departmental effort to refresh the contents of web pages, create faculty directory, and a data base subject matter expertise/ interest areas for potential outreach activities.
*Works as a back-up resource for other administrative support areas as required.
*Plays a key role in defining and administering best practices for the department.
*Works with the departmental leadership team to project manage the development of Departmental Annual Report.
*Project manages the implementation of renewed lease, and re-configuration of space at Kirby offices.
*Partners with other departmental administrative staff to implement the revised faculty compensation plan.
*In conjunction with home departments, facilitates all promotion and tenure for new and current faculty members in the Center.
*Performs other job related duties as required.
