Description Workplace Sales Contracts Administrator is a key team member that assists in the preparation, negotiation, administration and management of prospective customer and existing customer contracts. Position supports the workplace sales team and requires an organized and articulate individual who has a strong attention to detail and is able to set and meet deadlines.


Primary Responsibilities . Prepares agreements and additional business documents, including but not limited to Purchase Orders, Master Subscription Agreements, Escrow Agreement, Supplements, Addendums, Additional Business and Third Party Purchase orders as needed for Prospective and Existing Customers for Workplace Sales Division
. Participates in contract negotiation calls with existing customers and prospective customers to document mutually acceptable agreement terms and incorporate into final drafting of contract documents
. Serves as a liaison for sales and other departments, using judgment to identify situations which require attention or approval of management.
. Administers agreements to ensure that the documents adhere to good business and financial practices within the organization.
. Assists in creating and updating contract template documents
. Coordinates and assist with process development for contract modification tracking and warehousing
. Doculex System - use of online scanned contract document filing system. Locate contract documents, copy/save and email correct contract to Sales Managers and customers as needed upon request
. Assists with special projects and departmental initiatives as assigned
. Drafts contract modifications as required
. Contract Negotiation
. Interfaces and coordinates contract modifications with Sales Management, VP of Sales Operations and Legal
. Interacts and communicates with Workplace Services and various departmental key contacts related to contract questions and required modifications and resolutions
. Organizes library of consistently used contract terminology


Requirements . Minimum 3 year experience dealing with contract preparation (preferably within the software industry or related field)
. Extremely Detailed/Accuracy oriented
. Superior understanding of contracts (preferably with knowledge of software licensing and related services agreements)
. Proven experience with sophisticated levels of Microsoft office applications including Word and Excel
. Ability to make confident, supportable decisions in time sensitive situations
. Ability to identify and resolve issues in a timely manner
. Ability to prioritize, multi-task, and work through competing priorities
. Communicate and work well in a team environment and with existing clients including excellent verbal and written communications
. Proven follow-up skill-set
. Ability to promote collaboration, partnerships and relationships among team members.
. Understands and acts in accordance with the corporate and Sales mission, values and principles
. Excellent communication and interpersonal skills. Must be able to communicate effectively, both verbally and in writing, with members of all levels of the organization
. Excellent customer service skills. Strong sense of ownership and desire/ability to exceed expectations
. Able to retain composure and proactively communicate in stressful situations
. Able to multitask and prioritize effectively
. Able to adapt to changing and fast paced conditions
. Willing to work overtime or flexible hours as required
. Able to handle demands meet deadlines in a timely manner

. Ability to escalate to management when appropriate

Preferred Qualifications/Skills:
. Knowledge of Purchasing related to Software
. Experience with the Cognos suite of business intelligence, reporting and analytical products would be a plus but not required. In lieu of experience, a demonstrated ability to explore and learn in this area would be key

Education/Certification/License:
. Minimum 3 year experience dealing with contract preparation and negotiation (preferably within the software industry or related field).
. Bachelor Degree
