  • GENERAL PURPOSE

    With minimum direction and considerable latitude for independent judgment, utilizes project-management methodology and knowledge of business processes and requirements to provide project management (PM) support. PM Support includes coordination and documentation of resources and timeline for projects focused on the development and implementation of behavioral interventions to improve lupus disease and quality of life outcomes in diverse populations. Managed projects will be assigned by Dr. Edith Williams.

    The person in this role will support project initiation, continued momentum and completion by collaborating with project leadership to clearly project objectives, scope, needed resources and measures of success. Once a project is approved to proceed, the Project Facilitator will be responsible to maintain documentation of progress and to confirm accomplishment of agreed upon milestones. Managed projects will range from smaller, ongoing projects to larger projects involving collaboration with stakeholders outside of the University. The Project Facilitator will be expected to manage multiple initiatives simultaneously.

    This position requires a flexible team player with excellent communication skills, including written and professional communication.

    Supervision and Direction:

    Reports directly to Dr. Edith Williams, and is accountable to operational leadership for specific assigned projects.

    SPECIFIC RESPONSIBILITIES:

    Project Coordination - 35%

    Supports assigned projects by coordination and documentation of resources of lupus related projects, manages, tracks, and reports on timelines based on project milestones. Assists in determining resource needs and makes allocations within the project. Initiates or authorizes orders for resources that could include, but not be limited to, space, equipment, vendors, web-based or onsite meetings.

    Produces supporting material, such as presentations, posters, brochures, and other deliverables. Develops and maintains project charters and project plans.

    Manages project goals; assures teams stay on track; assists with alignment of priorities. Supports team leadership in the development and distribution of meeting agendas, the timely documentation of key discussion topics and action steps. Ensures team stays on track to deliver objectives and ensures project goals are met within an approved timeline. Identifies all projects risks and develops and implements mitigation strategies as appropriate. May assist with selecting, training and supervising other staff. Develops and establishes procedures and schedules to meet project needs.

    Assist project leaders with grant related tasks such as literature searches, drafting aims pages and budgets, gathering supporting documents, and preparing reports.

    Data Management - 30%

    Facilitates project development tracking and measurement. Organizes and prepares data for reports, presentations, or other activities and makes recommendations.

    Assists with collection of data for process documentation and management, and for metrics reporting and analysis. Prepares data for operating budgets and financial reports. Prepares analyses and allocates expenses in conjunction with Dr. Edith Williams. Coordinates expenditure controls and reviews and approves invoices on relevant projects.

    Actively participates in metrics and process development and analysis, including identifying and compiling key performance indicators, and solutions deployment.

    Communication - 25%

    Builds and maintains inter-departmental and stakeholder relationships. Establishes and executes a project communication plan and provides regular project updates to project team and Dr. Edith Williams.

    Compiles and analyzes statistics and prepares analytical and evaluative reports about project status and activities. This may include preparation of a quarterly newsletter and development of social media content.

    Other - 10%

    Utilizes lean performance improvement methodology throughout all work. Contributes as active member of the team, providing feedback and recommendations to support the needs of the projects.

    Provide scientific input

    • Maintain knowledge of scientific literature, cutting edge research, leaders in the field, and funding opportunities/relevant listservs.

    • Keeps current on key issues affecting strategic initiatives and imperatives.

    • Adhere to evidence-based design of protocols, implementation science, etc.

    Direct and maintain other project tasks as needed

    REQUIREMENTS:

    Bachelor's degree with major coursework in appropriate health, social science, public health, or related field and at least 3 years of related experience; or equivalent combination of education and experience. Master's level strongly preferred.

    Must have solid computer skills with knowledge of word processing, database utilities, internet navigation, email, and database software. Experience with healthcare-related projects or research strongly preferred.

    Must have excellent interpersonal, presentation, and communication skills, including written communication. Proven ability to interact with all levels of faculty and staff in a professional manner. Excellent communication skills focused on customer service. Attention to detail a must. Shows initiative and resourcefulness in managing priorities and takes responsibility for accomplishing his/her own work. Works collaboratively and maintains confidentiality of information at all times. Proven writing skills highly desirable. Experience in scientific grant/manuscript preparation assistance is preferred. Must have demonstrated skills with project-management tools.

    Pay Range

    Pay Range: $ 20.00 - $ 38.46 Hourly

    The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
